Terms of Service

1. Acceptance of Terms
By accessing or using VetFeedback.ai ("the Service"), you agree to be bound by these Terms of Service. If you do not agree to these terms, you may not use the Service. If you are using the Service on behalf of an educational institution, you represent that you have the authority to bind that institution to these terms.
2. Description of Service
VetFeedback.ai is an AI-powered tool designed to assist veterinary clinical educators in analyzing and improving the quality of feedback they provide to students. The Service provides:
- Audio transcription of teaching sessions
- AI-powered analysis of feedback quality based on evidence-based frameworks
- Identification of learning outcomes aligned with the AAVMC CBVE 2.0 framework
- Instructor self-coaching recommendations (opt-in)
- Assessment template generation
- Email-based report sharing
3. User Accounts
3.1 Registration
You must create an account to use the Service. You agree to provide accurate and complete information during registration and to keep your account information current.
3.2 Account Security
You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You agree to notify us immediately of any unauthorized use of your account.
3.3 Account Termination
You may delete your account at any time. We reserve the right to suspend or terminate accounts that violate these Terms. Upon termination, your data will be deleted in accordance with our Privacy Policy.
4. Acceptable Use
You agree to use the Service only for its intended purpose. You may not:
- Upload content that you do not have the right to share
- Upload recordings of individuals without appropriate consent as required by your institution and applicable law
- Use the Service to evaluate, grade, or make consequential decisions about students solely based on AI-generated output
- Attempt to access other users' data or accounts
- Reverse-engineer, decompile, or attempt to extract the source code of the Service
- Use the Service for any illegal or unauthorized purpose
- Resell, sublicense, or commercially redistribute the Service or its outputs
5. Consent and Recording Obligations
You are solely responsible for obtaining all necessary consents before uploading audio recordings or transcripts to the Service. This includes but is not limited to:
- Consent from students whose voices or identifiable information appear in recordings
- Compliance with your institution's policies on recording clinical teaching sessions
- Compliance with applicable state and federal laws regarding audio recording (including two-party consent states)
- Compliance with FERPA requirements regarding education records
VetFeedback.ai is not responsible for any failure by users to obtain required consents.
6. AI-Generated Content
6.1 Nature of Output
The feedback analysis, coaching recommendations, and other outputs generated by the Service are produced by artificial intelligence models. These outputs are intended as supportive tools for professional development and should not be treated as definitive assessments.
6.2 No Guarantee of Accuracy
AI-generated content may contain inaccuracies, omissions, or misinterpretations. The Service references peer-reviewed sources and the AAVMC CBVE framework, but AI outputs should always be reviewed with professional judgment.
6.3 Not a Substitute for Professional Judgment
The Service is not a replacement for faculty development programs, peer review, or institutional assessment processes. It is a supplementary tool to support reflective practice.
7. Intellectual Property
7.1 Your Content
You retain ownership of all content you upload to the Service (recordings, transcripts, documents). By uploading content, you grant us a limited license to process it for the purpose of providing the Service.
7.2 Service Content
The AI-generated feedback, coaching insights, and analysis reports are provided to you for your use. The underlying methodology, evidence-based frameworks, source code, and Service design remain the intellectual property of VetFeedback.ai.
8. Data and Privacy
Your use of the Service is also governed by our Privacy Policy, which describes how we collect, use, and protect your data. If you are using the Service as part of an institutional deployment, please refer to our Data Processing Agreement.
9. Service Availability
We strive to maintain the availability of the Service but do not guarantee uninterrupted access. The Service may be temporarily unavailable due to maintenance, updates, or circumstances beyond our control. We are not liable for any loss or damage resulting from Service downtime.
10. Limitation of Liability
To the maximum extent permitted by law, VetFeedback.ai and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or related to your use of the Service. This includes but is not limited to damages arising from:
- Reliance on AI-generated outputs
- Unauthorized access to your account
- Loss of data
- Service interruptions
Our total liability shall not exceed the amount you paid for the Service in the twelve (12) months preceding the claim, or $100, whichever is greater.
11. Indemnification
You agree to indemnify and hold harmless VetFeedback.ai, its operators, and affiliates from any claims, damages, losses, or expenses arising from your use of the Service, your violation of these Terms, or your failure to obtain necessary consents for uploaded content.
12. Changes to Terms
We may update these Terms from time to time. We will notify users of material changes via email or in-app notification. Continued use of the Service after changes constitutes acceptance of the updated Terms.
13. Governing Law
These Terms shall be governed by and construed in accordance with the laws of the Commonwealth of Massachusetts, without regard to its conflict of law provisions.
